ARCH Community Housing Trust is a non-profit affordable housing development organization serving low to moderate income households in Blaine County. Using a variety of funding mechanisms, we finance, build, own, and manage affordable rentals and we sell affordable ownership properties. We work in partnership with local jurisdictions and community organizations in order to deliver housing to our community.

Position Overview

The Office Manager/Assistant Property Manager position reports to the Executive Director and provides administrative support to the organization. The ideal candidate must be able to juggle multiple tasks throughout the day, be willing to re-prioritize at a moment’s notice depending on the day’s workflow and have great customer service skills.

Key Responsibilities

  • Office Manager and Administrative Support 20%
  • Answer phone calls and emails throughout the day
  • Greet visitors and residents at ARCH’s office in Hailey
  • Check and sort mail daily, route to proper department
  • Interface with IT contractor as needed as IT issues arise
  • Assist Executive Director, Donor Relations Manager, and Operations Manager with administrative tasks as needed
  • Track and record industry data on an internal database
  • Pick up and deliver payments, permits, contracts, and other materials as needed
  • Under the direction of the Executive Director, schedule and attend Board and Committee meetings

  • Manage accounts payable and accounts receivable in QuickBooks
  • Record other transactions as needed
  • Track and record construction draws vs. contractor invoices
  • Financial reporting and analytics – compiling data from multiple sources to assist management team with decision making
  • Work closely with contracted Finance Manager and contracted Chief Financial Officer to ensure ARCH’s finances are in good order
  • Make bank deposits as needed
  • Attend and participate in monthly Finance Committee meetings
  • Assistant Property Manager 40%
  • Assist the Operations Manager in managing ARCH properties
  • Interface daily with residents regarding maintenance issues
  • Assist with waitlist inquiries
  • Schedule maintenance repairs with local vendors (plumbers, appliance service, electricians, general service companies)
  • Post, receive, and record rents and other resident charges
  • Generate various notices to residents and deliver via email, US Mail, and front door posting depending on nature of the notice
  • Work within property management software system as needed to assist with reports, compliance, maintenance, and other resident requests.

Qualifications

Education: University Degree in a relevant field or significant comparable experience
Prior Experience: Prior experience preferred

Skills

  • Tech-savvy with proficiency in Microsoft Office – Excel in particular
  • Experience working in QuickBooks
  • Exceptional customer service skills
  • Excellent written and oral communication skills
  • Ability to maintain extreme confidentiality with resident and donor information
  • Self-motivated and ability to work independently
  • Ability to adjust to changes in priorities
  • Bilingual is preferred, not required

Compensation

Competitive salary based on experience. Other benefits include generous vacation time, flexible schedule, and retirement contribution.

This is a full-time position based in Blaine County. Some work-from-home is allowable.
